What we collect
- When you contact us through a form, email, phone or WhatsApp: your name, email, phone number, business name, suburb, website or Facebook link and your message.
- When you book a call through our booking page: the details you enter when booking.
- When you become a client: the information we need to do the work and send invoices, such as billing details and the content you give us for your website.
- When you use our website: basic technical information such as your IP address, browser and the pages you visit. Some of this is collected by cookies (see below).
Sometimes we get information about you from someone else, for example a colleague who asks us to contact you, or public sources such as your business website. When we do, we'll tell you what we collected and why, unless an exception in the Privacy Act applies.
How we use it
- To reply to your enquiry and send you a quote or website preview.
- To provide our services and support, and to send invoices.
- To keep our website working, secure and useful.
- To send you occasional updates or offers, only if you've agreed. You can opt out at any time.
We don't sell your personal information.
Who we share it with
We only share your information when we need to, for example with the companies that help us run our business:
- our website hosting and email providers
- WordPress and the plugins that run our website and forms
- WhatsApp (Meta), if you message us there
- Calendly, if you book a call
- Google, which provides the maps and fonts on our website
- our accountant, and government agencies when the law requires it
Some of these companies store information outside New Zealand, for example in Australia or the United States. We choose providers that protect personal information in a way that is comparable to New Zealand law.
Cookies
Cookies are small files saved by your browser. We use cookies that our website needs to work. We only use analytics or marketing cookies if you agree to them in our cookie banner. You can change your choice at any time, or block cookies in your browser settings.
If we add marketing tools in future, such as the Meta (Facebook) Pixel, they will only run if you agree to marketing cookies, and we'll update this policy.
Our pages load fonts and maps from Google. When this happens, Google receives your IP address. See Google's privacy policy.
How long we keep it
We keep personal information only as long as we need it for the reason we collected it, or as long as the law requires. For example, we keep financial records for seven years for tax reasons. Enquiries that don't lead to work are deleted when we no longer need them.
Keeping it safe
We take reasonable steps to protect your information from loss, misuse and unauthorised access, such as secure passwords, limited access and up-to-date software.
If a privacy breach happens that is likely to cause serious harm, we'll tell the people affected and the Office of the Privacy Commissioner as soon as we can.
Your rights
You can ask to see the personal information we hold about you, and ask us to correct it. You can also ask us to delete it. Email hello@webmatrixlab.com. We'll reply within 20 working days.
Complaints
If you're unhappy with how we've handled your information, please talk to us first. If we can't sort it out, you can complain to the Office of the Privacy Commissioner.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
